Reservation Request Process


If you are a member of a recognized UNC-CH student organization, you will need an account to access our online reservations system, Virtual EMS. If you do not have an account, please visit our Reservations Training Page.  If you already have an account please log in here.

If you are a member of a UNC-CH department, we encourage you to submit requests online after taking a brief training course and obtaining a username and password.  We are also happy to assist you in person, over the phone at 919.966.3832 or by email at


Meeting reservations must be made at least 2 business days prior to the desired reservation.  Weekend requests must be submitted by 5pm Wednesday.

Event reservations must be confirmed at least 30 days in advance; we suggest that you begin the event request process at least 45 days in advance to ensure adequate time for all necessary approvals and arrangements.

 Reservable Spaces

Events Management is your first stop for requesting the following areas:

  • Union meeting rooms, event space (Great Hall, Auditorium), and outdoor locations (Pit, Plaza). 
  • Student Academic Services Buildings (SASB) Upendo, courtyard, and conference room 3315
  • General purpose classroom space after 6PM and on weekends. For a complete list of those spaces, see the Classroom Scheduling link below.
  • Polk Place
  • Carmichael Ballroom
  • Outdoor Housing areas:

Other Campus Reservations

To request classroom space during academic hours (weekdays before 6pm), contact Classroom Scheduling.
