RENEWING YOUR ORGANIZATION? Go to “B” in this section.
A. If you are starting a new organization or seeking to recognize a student group that has not been recognized since the 2004-2005 academic calendar year, you must prepare and file a five-year business plan for your organization. Exceptions to this requirement will be granted only for organizations formed to support a campaign for student government. Your business plan must be filed no less than ten (10) academic class days prior to filing this Agreement.
B. Prepare a/find the governing document for your organization (either a Constitution and Bylaws or a Statement of Purpose, one or the other). Outlines can be found in the StORC (Union 2501) or in pdf form in the Student Activities and Organizations section of Forms and Policies.
NOTE: If your organization was recognized during the past academic year, you should already have a copy of your governing document in YOUR files.
C. Find an advisor for your organization (see the Official University Recognition section of the Organization Manual found under the Student Activities and Organizations section of Forms and Policies) and schedule a meeting.
Any full-time permanent employee (faculty, staff, or extended the privileges thereof) of UNC-CH or UNC Hospitals can serve as your organization’s advisor.
The role of your organization’s advisor is negotiated between the organization and the advisor. S/He may be required to sign some University forms such as this one but any other responsibilities are established by both parties.
NOTE: If your organization was recognized during the past academic year, you should already have an advisor for your organization.
D. THE PRIMARY CONTACT AND THE ADVISOR MUST MEET TO REVIEW THE ADVISOR’S RESPONSIBILITIES, REVIEW THE GOVERNING DOCUMENT, AND TO READ THIS PAGE THOROUGHLY. Both the primary contact and advisor must sign to confirm agreement. NOTE: you are signing a binding agreement between your organization and the University of North Carolina at Chapel Hill.
E. Make copies for your advisor and for your files. HOLD ONTO THE AGREEMENT FOR THE NEXT STEP (F)! (Greek chapters: See Step G)
F. ONCE ALL OF THE ABOVE STEPS ARE FINISHED AND ONLY THEN…the PRIMARY CONTACT must e-mail with his/her available days and times to have the Agreement and the governing document reviewed and to receive the on-line enrollment/update card. The Advisor does not have to attend this meeting. Do not set up the meeting if you haven’t finished the preceding steps; if is unfair to other groups when you cancel because you’re not ready.
G. If you are a Greek chapter affiliated with one of the four councils (Interfraternity Council, Panhellenic Council, National Pan Hellenic Council, and Greek Alliance Council) of the Office of Fraternity and Sorority Life, you must file this paperwork with that office.
